### Set up your workspace

Start by creating an account and naming your workspace. Most users choose their company name as the workspace name because it acts as an umbrella for all your research.

### Create a project

Projects help you structure your research by client and assignment. Begin by selecting a folder name (usually your client), then define your project title based on the specific research you're conducting. You can also enable automatic PII redaction across transcripts to protect participant privacy from the start.

### Invite collaborators

Bring your team into the project by inviting collaborators directly from the workspace settings. Assign roles based on access needs — contributors can work within specific folders, while admins and owners have full visibility across the workspace. This ensures the right people have access to the right data.

### Upload your interviews

Finally, upload your recordings. You can upload directly from your computer or connect to services such as Google Drive, OneDrive, or Zoom to import files seamlessly. Click Continue once all files are uploaded and your project is ready to go.

Start by selecting your project and uploading your research material. You can import files directly from your device or connect tools like Google Drive, Zoom, or OneDrive. Once uploaded, Quallie.Ai automatically begins transcribing your interviews, so you can move quickly from data collection to analysis.

### Assign speakers

After transcription, Quallie.Ai automatically identifies speakers and labels them as interviewee or moderator. You can easily review and adjust these labels at any time to ensure accuracy and clarity across your transcripts.

### Edit the transcript

Refine your transcripts using the built-in editing tools. Words are highlighted based on confidence levels, allowing you to quickly spot and correct any inaccuracies by listening back to the original audio. This ensures your data is reliable and ready for analysis.

### Translate the transcript

## Create clips & reels

This video shows how to create and manage video clips from your interviews in Quallie.Ai. You'll learn how to highlight transcript text to create clips, edit and refine them, anonymise sensitive content, and organise clips into folders for easy access.

### Highlight text to clip

Highlight any section of text, give it a name, and choose in which folder to save it. This instantly creates a clip linked to that specific moment in the video. Clips are saved both as highlights in the transcript view and in the Clips tab.

### Organise clips

Keep your clips organised in the Clips tab. Create custom tabs and filter content by tags, interviews, or creator — making it easy to manage large volumes of clips and quickly find exactly what you need.

### Trim

Select a clip and open the Edit Clip view. From here you can trim your clip to keep only the parts you need. The transcript view shows exactly which sections are being removed, so edits remain precise and easy to follow.

### Edit subtitles

In the same Edit Clip view, you can refine the subtitles frame by frame and even translate them with a single click.

### Remove silence / Anonymise

In the same Edit Clip view, you can automatically remove silences for smoother playback. If your clips include sensitive information, you can blur faces or distort audio to protect participant privacy.

### Create reels

Turn your clips into compelling video reels in just a few steps. Select the clips you want to include, organise them under a custom title, and personalise your reel with a cover slide. You can continue adding clips over time, and once ready, download your reel to use in presentations, reports, or stakeholder shareouts.

## Troubleshooting / FAQ

### What does 'Assign speaker' status mean?

1. Assign Speaker Names:
- After your interview is uploaded and transcribed, you will see a "pending assignment" status. Click through to assign speaker names.
- Play back sections of the interview to ensure the system correctly identifies the interviewee, then assign the name (e.g., James). This will be applied across the entire transcript.

2. Assign Moderator:
- Assign the moderator's name (e.g., Marco), and save your changes. Once names are assigned, the status will change to "successful."

3. Generate Summary:
- Once the speaker names and roles are set, the system automatically generates the summary.

### How do I edit or correct a transcription?

1. Enter edit mode:
- In the transcript, hover over a paragraph and click the small pen icon to enter edit mode.

2. Check transcription confidence:
- In edit mode, check for words highlighted in red, indicating low transcription confidence.

3. Play back and correct the word:
- Play back the audio to verify the correct word. Click on the incorrect word, type the correct spelling, and press Enter.

4. Delete unnecessary words:
- If needed, delete any incorrect or extra words. Once done, hit "Save," and your transcript will be updated.

### How do I fix a transcription that is marked as 'failed'?

1. Identify the Failed Transcription:
- If a transcription fails, the status will show as "failed." This can happen when uploading research in foreign languages.

2. Resubmit the Transcription:
- Click the ellipsis next to the failed transcription and select "Resubmit."
When the language selector opens, choose the correct language from the dropdown. For example, select "Dutch" if the interview was in Dutch.

3. Retranscribe and Wait:
- After selecting the language, click "Retranscribe." The status will change to "Processing," and once complete, it will show "Pending Assignment."

4. Assign Speaker Roles:
- Once the transcription is ready, click through to assign speaker roles and names as usual.

## Zoom integration

You can integrate with your Zoom account to import your data. In this section, we will explain how to connect/Disconnect your Zoom account and how to delete your Zoom recordings from Quallie.Ai.

### Connecting Zoom Integration

You can easily upload videos directly from Zoom. When uploading a file, select the Zoom option as shown in the screenshot above.

### Disconnecting Zoom Integration

To remove Zoom access:

Log in to your Zoom account and navigate to the Zoom App Marketplace.

Click Manage and then select Added Apps, or use the search function to locate the Quallie.Ai app.

Click on the Quallie.Ai app.

Select Remove to disconnect the integration.

### Data and Privacy

We only access and download the specific Zoom videos that you choose to import. We do not store or access any other Zoom account information. After disconnecting Zoom, you can delete imported videos from your account. To do this, go to Interviews, select the recordings you wish to remove, and click the bulk delete icon.

## Community Data

Community research often generates a high volume of responses across multiple participants, tasks, and formats. In Quallie.Ai, community data can be uploaded in a few different ways depending on how that data was collected.

You can bring community data into Quallie.Ai by:
	•	uploading it manually
	•	importing it through an Excel template
	•	exporting it from a provider such as Field Notes and uploading it to Quallie.Ai

This gives you flexibility whether you are setting up a project from scratch, migrating an existing study, or bringing in data collected through another platform.

### Option 1: Upload manually

Manual upload is a good option when you want to create the structure of the project first and then add responses participant by participant.

Start by creating a new project and selecting Community data, then choose Upload manually.

You'll first define the structure of the project by adding:
- Participants: the people who took part in the study
- Tasks: the questions, prompts, or activities they completed

When entering participants and tasks, list each item separated by a semicolon (;).

Once that structure is in place, you can open each participant individually and upload their entries there. Entries are the actual responses for each task, whether that is written input, recorded video, or other uploaded files.

This approach works well when you want more control over the setup or when responses need to be added manually after the project structure is created.

Steps

	4.	Add your participant names, separated by ;
	5.	Add your tasks, questions, or activities, separated by ;
	6.	Open each participant
	7.	Upload the relevant entries for that participant

### Option 2: Upload using the template

If you already have your community data prepared, uploading with the template is usually the fastest and most reliable option.

In Quallie.Ai, go to Community data and select Download template. This gives you a file you can fill in with the key parts of your study:
- Participants
- Tasks
- Entries

Entries are the actual responses submitted by each participant for each task. These can include written responses or links to recorded video content, depending on how your study was run.

Once the template is complete, upload the file back into Quallie.Ai and your project data will be structured automatically.

### Option 3: Upload data from Field Notes

If your community study was run in Field Notes, you can export the data in a format designed for Quallie.Ai and upload it directly.

In Field Notes, select Go to Field Notes and export your study using Export data for Quallie.Ai. Then return to Quallie.Ai, open Community data, and upload the exported file.

This is a simple way to move community research from collection into analysis without needing to reformat everything manually.

### Subprocessors

We use a small number of carefully selected third-party service providers ("subprocessors") to help us deliver, secure and improve Quallie. These companies process personal data on our behalf in order to provide the services you use (for example, hosting, file storage, AI features and transcription).

When we share personal data with subprocessors:
- We only share the minimum data necessary for them to perform their services.
- Each subprocessor is bound by a written data processing agreement that requires them to protect personal data to standards that are no less protective than our own.
- Subprocessors may not use your personal data for their own purposes, such as selling it or using it for independent advertising.
- For AI services, we do not permit customer content to be used to train general AI models for other customers. Customer data sent to our AI providers is used only to provide the Quallie features you enable.
